• A 50% deposit is required to secure your event date. This deposit reserves your date and covers initial planning, preparation, and staffing.

• Deposits are non-refundable once paid, to protect your booking and our ability to plan and allocate resources.

• The remaining balance is due 14 days before your event.

• Bookings are only confirmed once the deposit has been received. Until then, your date remains available and may be offered to other clients.

• Guest numbers are confirmed at the time of booking and are used to plan food, staff, and equipment.

• Reductions in guest numbers cannot reduce the agreed invoice once the booking is confirmed.

• Increases in guest numbers may be accommodated up to 14 days before the event, subject to availability and additional charges.

• Cancellations by the client: Deposits are non-refundable. If the remaining balance has been paid, it will only be refunded in the rare event Apero Events cannot deliver the service.

• Cancellations by Apero Events: In the rare event we must cancel due to illness, emergencies, or circumstances beyond our control, a full refund of all amounts paid will be issued.

• Includes a bespoke menu, preparation, setup, hosted service, and pack-down.

• Hosted by Apero Events staff, led by a designated team member.

• The agreed menu and service style is agreed at the time of booking. Any requested changes must be discussed and confirmed no later than 14 days before the event and may incur additional charges.

• You must provide a primary contact for the day of the event (planner, stylist, or designated host) to liaise with our team.

• Adequate access must be available for delivery, setup, and collection, including:

  • A flat, stable surface for the bar

  • Parking or unloading access near the event location

  • Access to power or shade if previously agreed

• Outdoor events are subject to weather conditions. Apero Events reserves the right to adjust setup or service to ensure safety of guests and equipment. We cannot be held responsible for delays or disruptions caused by extreme weather.

• Apero holds full Public and Product Liability Insurance.

  A copy of our Public and Product Liability Insurance is available upon request.

• For bar-only hires, the client accepts full responsibility for any issues resulting from improper use or food handling.

• Any damage, loss, or excessive cleaning will be charged to the client post-event.

• The client agrees to indemnify Apero against any claims, damages, or liabilities arising from misuse, improper food handling, or third-party actions during the event.

• All food is prepared following UK Food Safety standards. Allergens are clearly labelled, and we are fully compliant with Natasha’s Law.

• By booking, you confirm you have the legal right to host the event at the chosen venue and that the venue allows any agreed setup.

Our menus are designed around seasonal produce, and fresh ingredients are sourced each week. As such, some items may vary depending on availability and time of year.

Occasionally, supplier issues may also affect specific products. While we can’t guarantee the inclusion of every listed item, we will always provide a suitable alternative or adjust quantities to ensure the overall experience remains generous and balanced.

Unless requested otherwise, we reserve the right to share images taken at your event across our social media platforms. If you prefer that we do not use any photos, please let us know in writing in advance.
